Children's Privacy (COPPA)

KosmicSports is operated by KosmicSports LLC, a Pennsylvania limited liability company and a wholly‑owned subsidiary of Kosmic Edge LLC ("KosmicSports," "we," "us," or "our"). Because our platform is used to run youth and community sports, we know that information about children is part of the activity. This Notice explains how we handle the personal information of children under 13 in compliance with the federal Children's Online Privacy Protection Act ("COPPA") and its rules. It supplements our Privacy Policy.
1. Our Approach: Adult‑Administered, Parent‑ and Organization‑Controlled
KosmicSports is designed to be administered by adults — organizations, leagues, coaches, and parents/guardians. Children do not independently sign up for KosmicSports. A child's information is added and managed by:
a parent or legal guardian, who creates or manages the family's household and registers the child; and/or
an organization or league (our "Customer") that the family has chosen to participate in, acting as a school/operator partner under COPPA.
We collect children's information at the direction of, and to provide services to, these adults and organizations — not to market to children.
2. Information We Collect About Children
Depending on what a parent/guardian or organization provides, this may include:
the child's name, date of birth, and gender;
household and relationship details (which adults are the child's parents/guardians);
team, division, age group, roster, schedule, and participation information;
a profile photo, if provided;
registration form responses, which an organization may configure to include items such as emergency contacts or medical/allergy information; and
limited technical information necessary to deliver the Services securely.
We do not require a child to disclose more information than is reasonably necessary to participate. We do not knowingly collect more than the organization or parent provides.
3. How We Use Children's Information
We use children's information solely to provide and support the sports activity and the Services — for example, to register the child, place them on a roster, show schedules and standings to authorized adults, enable team/household communication that adults administer, and keep records the organization needs.
We do not:
use children's information to send them marketing;
serve targeted/behavioral advertising to children;
sell or "share" children's personal information; or
condition a child's participation on disclosing more personal information than is reasonably necessary.
4. How Children's Information Is Disclosed
Children's information is visible to the authorized adults in their household and in the organizations/leagues they participate in (for example, parents/guardians, coaches, and administrators), consistent with their roles. We also use vetted service providers (such as hosting, storage, email, and payment processing) that process information only to provide services to us under confidentiality obligations. We may disclose information when required by law or to protect the safety of a child or others.
5. Parental Consent
Because parents/guardians and organizations create and manage children's records, the parent/guardian (or the organization acting with parental authorization) provides the consent needed to collect and use the child's information for the activity. Organizations that collect children's information through KosmicSports are responsible for obtaining the parental consent COPPA requires for their programs, and we provide tools to support that.
If we ever intend to use a child's information in a way that requires separate verifiable parental consent, we will obtain it first.
6. Parental Rights — Review, Delete, and Refuse Further Collection
As a parent or legal guardian, you may at any time:
review the personal information we have collected about your child;
request that we correct or delete your child's personal information; and
refuse to permit further collection or use of your child's information (note that this may make it impossible for the child to continue participating in the activity).
You can manage much of your child's information directly through your household in the platform. To make a request or ask a question, contact us at [email protected], or contact your organization/league directly. We will verify that you are the child's parent/guardian before acting, and we will respond within the time required by law. If your child's information is managed by an organization (our Customer), we may coordinate with or refer your request to them.
7. Data Retention and Security
We keep children's information only as long as needed to provide the activity and Services and to meet legal, recordkeeping, and dispute‑resolution requirements, after which we delete or de‑identify it. We protect children's information with the safeguards described in our Privacy Policy, including encryption in transit, access controls, and staff multi‑factor authentication.
8. Changes to This Notice
We may update this Notice from time to time. For material changes affecting children's information, we will provide notice as required and update the "Last Updated" date.
